In J-SOX internal control PJT, we have been working toward full introduction of the RINGISYO Approval System in Polyplastics' group companies since the beginning of this year, as part of our activities to build internal control systems.
As a result, we have drafted 1) the RINGISYO Regulations and 2) the RINGISYO Approval Matrix for each group company.
By the time this P-MATES is published, those drafts will have been approved and the RINGISYO Approval System will be in full operation in all group companies.
Many questions will no doubt come up as to the process of making RINGISYO applications.
That's why we answer the main questions that are anticipated using a Q&A format.

Q: What is RINGISYO ? What is its role?
A: "Ringisyo" is a Japanese word originally standing for approval application forms that are circulated to relevant persons. Here, the term is also used to mean the entire mechanism for making decisions and giving approval necessary to the conduction of company business. In what cases is approval necessary, which persons must be informed, who makes the final decision, what kind of documents are used to make requests for approval—are provided in the RINGISYO Approval System.

The RINGISYO Approval Matrix is a chart that shows 1) in what cases 2) which persons use 3) which forms for approval.
Along with the RINGISYO Approval Matrix, it is also noted whether approval by PPC headquarters is necessary in addition to approval by the Managing Director of each group company (and what department to contact at PPC headquarters when approval is necessary).

Q: How will RINGISYO change our work?
A: The RINGISYO Approval Matrix lists 1) in what cases 2) which persons use 3) which forms for approval. Most of the document forms specified in 3) are application forms that group companies have been using until now, so there will be no big changes in your daily work.
However, when PPC headquarters' approval is necessary in addition to approval by the Managing Director of each group company, the approval application will be attached as evidence to PPC approval documents, which are reviewed by various persons. That's why you should take particular care in preparing approval documents so that the information in them can be easily understood by a variety of people.

Q: What should we do to get ready for the start of the RINGISYO Approval System?
A: First, everyone should read the RINGISYO Approval Matrix to find out if it lists any matters associated with your regular work. (Refer to "in charge by" listed in the RINGISYO Approval Matrix to find matters associated with your work.)
For matters associated with your work, check:

1) whose approval is necessary;
2) what application to use for approval; and
3) whether PPC headquarters' approval is necessary.

Depending on the matter, there are cases in which approval is connected with monetary criteria and cases in which approval is necessary regardless of the monetary amount.
